This Privacy Policy describes how Pyplan Inc., a Delaware corporation ("Pyplan", "we", "our", or "us"), collects, uses, discloses, and protects personal and non-personal information through its website www.pyplan.com and related services (collectively, the "Service").

By using the Service, you agree to the practices described in this Privacy Policy. Your use of the Service is also governed by our Terms of Service.

Scope

This is the master Privacy Policy for the Pyplan platform. Specific features have their own supplementary notices:

For enterprise and customer-hosted deployments, the customer that owns the tenant is the data controller, and the customer's own agreement with Pyplan governs data processing.


1. Who we are (data controller)

Pyplan Inc., located at 2035 Sunset Lake Road, Suite B-2, Newark, Delaware 19702, United States, is the data controller responsible for the personal information processed under this Privacy Policy for accounts hosted on pyplan.com.

For enterprise and customer-hosted (on-premises or private-cloud) deployments, the organization that owns the tenant is the data controller, and Pyplan acts as a data processor on that organization's behalf under the applicable customer agreement.

2. Information we collect

We collect information in the following categories:

2.1 Information you provide

  • Account and registration data: your name, username, email address, company, department, and role.
  • Payment data: billing details processed through our third-party payment processor. Pyplan does not store full card numbers.
  • Communications: the content of messages you send to us (for example, support requests or emails).
  • Connection settings: credentials and configuration you save to connect external data sources (for example, FTP or database connections). For FTP servers, we store only the information you save; once you delete a server, that information is permanently deleted from the Pyplan database.

2.2 User Content

Data, graphs, code, commentary, models, and derivative works you import, create, or upload through the Service. You retain all rights to your User Content, as described in our Terms of Service.

2.3 Information collected automatically

When you request a page from our website, your browser may provide non-personally identifying information, including your IP address, browser type, the URL requested, and the date and time of your request. We use this information to monitor usage and improve the quality of the Service.

2.4 Cookies and similar technologies

We use cookies and similar technologies to keep you signed in, remember your preferences, maintain session security, and understand how the Service is used. You can control cookies through your browser settings; disabling some cookies may affect the functionality of the Service.

We do not collect special categories of personal data (such as health or biometric data) as part of the normal operation of the Service.


3. How we use your information

Pyplan uses the information it collects to:

  • Provide, operate, and maintain the Service and your account.
  • Authenticate you and authorize your requests according to your permissions.
  • Process payments and manage subscriptions.
  • Respond to your inquiries and provide technical support.
  • Monitor usage, diagnose problems, and improve the quality, security, and reliability of the Service.
  • Send you service-related communications and, where permitted, relevant updates.
  • Comply with legal obligations and enforce our Terms of Service.

Where the EU or UK General Data Protection Regulation applies, Pyplan relies on the following legal bases to process your personal data:

  • Performance of a contract — to provide the Service you have requested and to administer your account.
  • Legitimate interests — to secure, operate, and improve the Service, provided those interests are not overridden by your rights.
  • Legal obligation — where processing is required by applicable law.
  • Consent — where you have given consent, for example for certain optional communications. You may withdraw consent at any time.

5. How we share information

Pyplan does not sell your personal data, and we do not share the personal information you provide (such as registration data) with other organizations for their own marketing purposes. We share information only in the following circumstances:

  • Service providers and subprocessors. We use third-party vendors and hosting partners (for example, cloud infrastructure and payment processors) to provide the hardware, software, networking, storage, and related technology required to run the Service. These providers are contractually obligated to handle your data securely and in compliance with applicable privacy laws, and only to the extent needed to provide their services to Pyplan.
  • Aggregated or de-identified information. From time to time, we may share non-personally identifiable information with third parties to provide or improve relevant services.
  • Legal and safety. We may disclose personally identifiable information under special circumstances — for example, to comply with a subpoena or valid legal process, when your actions violate the Terms of Service, to protect and defend the rights and property of Pyplan, or to protect the personal safety of users or the public.
  • Business transfers. If Pyplan is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to this Privacy Policy.

6. Data location and international transfers

Pyplan is operated from the United States and relies on cloud infrastructure providers. Depending on your subscription, your tenant may be hosted in a specific region (for example, Pyplan Cloud in the United States or Europe, or in a customer-selected region for customer-hosted deployments).

For enterprise deployments, Pyplan does not replicate, mirror, or transfer tenant data between regions — a tenant provisioned in a region is served entirely from that region. If you access the Service from a country different from where your tenant is hosted, your request travels to that tenant's region in order to be served. Where international transfers of personal data occur, we rely on appropriate safeguards such as standard contractual clauses.

7. Data retention

We retain personal information for as long as your account is active or as needed to provide you the Service, and thereafter for as long as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.

  • Account data is retained for the life of your account and deleted or anonymized after termination, subject to legal retention requirements.
  • User Content remains in your account (or your tenant) under your control and your organization's retention policy.
  • Operational logs are retained for a limited period for security, debugging, and abuse prevention, then deleted or anonymized.

8. Data security

While your information is stored in the Pyplan database, it is encrypted. We implement appropriate technical and organizational measures to protect your personal data from unauthorized access, disclosure, alteration, or destruction, including:

  • Encryption in transit (TLS) and encryption at rest.
  • Role-, department-, team-, and company-based access controls enforced server-side.
  • Optional multi-factor authentication and single sign-on (SSO) at the tenant level.
  • Regular vulnerability scanning and access reviews.

No method of transmission or storage is perfectly secure. You expressly understand and agree that, to the maximum extent permitted by law, Pyplan is not liable for damages resulting from unauthorized access to or alteration of your transmissions or data. 9. Your privacy rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you, including unique identifier and transaction information (such as subscription dates or payments).
  • Correct inaccurate or incomplete data.
  • Delete your personal data ("right to be forgotten").
  • Restrict or object to certain processing.
  • Port your data to another provider.
  • Withdraw consent where processing is based on consent.

To exercise these rights:

  • For data inside an enterprise or customer-hosted tenant, contact your tenant administrator first.
  • For requests to Pyplan as controller or processor, email info@pyplan.com.

We will respond to verified requests within the timeframe required by applicable law. You also have the right to lodge a complaint with your local data protection authority.


10. Children's privacy

The Service is not directed to children under 16, and Pyplan does not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us at info@pyplan.com so we can delete it.


11. Third-party websites

The Service may contain links to third-party websites and may include third-party libraries or advertisements. This Privacy Policy does not apply to those third parties. We do not control and are not responsible for their privacy practices, and we encourage you to review the privacy policies of any third-party website or service you access.


12. Changes to this Privacy Policy

Pyplan Inc. reserves the right to modify all or part of this Privacy Policy at any time. When we make material changes, we will update the "Last updated" date above and, where appropriate, provide additional notice. Your continued use of the Service after changes take effect constitutes acceptance of the revised policy.
